Receptionist

Position Description

The Receptionist position supports the daily operations of the school, being the primary person responsible for the answering of phones, receiving visitors into the school, providing support to parents, faculty and students as required and for directing information, messages and queries to the appropriate location.

The receptionist is accountable for providing customer service, secretarial, clerical and administrative support with the purpose of ensuring that the school’s front office is functioning in an effective and efficient manner.

Primary reporting relationship is to the Human Resources Manager.

  • Experience in a related position within an educational setting.
  • Strong interpersonal skills enhanced by a friendly and pleasant demeanor.
  • Excellent communication skills both verbal and written.
  • Task oriented with an ability to manage multiple tasks and anticipate needs.
  • Good organizational skills.
  • Strong computer skills, specifically Word, Excel and Outlook, and a willingness to upgrade as required.

 

KEY AREAS OF ACCOUNTABILITY AND SPECIFIC STANDARDS / RESULTS

1. General Reception.

  • Answering of telephones and relaying of messages. Listening to messages on a daily basis and forwarding as required.
  • Acceptance and delivery of packages.
  • Receive faculty, parents and students in the office and attend to their needs as required, including assisting children who are ill or injured, signing out of keys, photocopy card request etc.
    Update front office manual.

2.Clerical Support.

  • Provide clerical support to faculty and staff as required including, word processing, photocopying, faxing, mailing, information distribution etc.
  • Provide administrative staff support to the Property Management Committee and the Health and Safety Committee as required.
  • Administration of email lists and resetting passwords as required.
  • Booking buses for school trips as required.

3. Record Keeping.

  • Maintaining of faculty, staff and student attendance records. Follow up as required including compilation of statistical information.
  • Provide support to the Director of Admissions in the management of the Central filing system.
  • Maintain the supply of forms and record books as required in the front office including, timetables, student permission forms, room bookings, key sign out, fax cover sheets, etc.

4. Health and Safety.

  • Lead contact for fire drill and other school health and safety issues and requirements.
  • Supervise and maintain the school health room insuring orderliness, and stocking of supplies.
  • Implementation of policies and procedures pertaining to the Health and Safety requirements of the school including, lost child, fire drills, health room, allergy and other medical procedures and obligations, in full consultation with appropriate committees and professionals, ensuring that all legal requirements are met.
  • Instigate annual review of these policies by all administration staff and faculty members.

5. Building Rentals Management.

  • Track rental inquiries
  • Preparation and management of room use schedule with Facility Services Coordinator
  • Assist with rentals as required

 

SCOPE AND DECISION MAKING

This position requires a good understanding of a number of school policies and procedures as outlined in the faculty and staff handbook which may require judgement calls on an as needed basis. There is a large amount of communication and consultation with faculty and administrative staff in the development and interpretation of policy with limited direct decision making authority. The receptionist is not required to attend the Thursday faculty meeting but is welcome to.

 

COMPENSATION & HOURS:

Hours of work will be from 7:30am to 4:30pm Monday to Friday, includes a one hour lunch break.
